PRG XL Video eliminates transport paperwork with routeMASTER telematics

The firm runs a mixed fleet of vans and HGVs, and introduced the routeMASTER system last September.

Transport Manager Nathan Lockett explained: “From the start, it completely changed the way we work. In brief, routeMASTER has connected all PRG company departments with a single, cloud-based system to give full visibility and access to the entire supply chain and in the process has made paperwork a thing of the past.”

Until recently the transport department would raise a separate sheet of paper for each consignment, which could be up to 100 per day. These were placed on a large table in the traffic office where they could be referred to and updated during the day according to the specific status of each vehicle load.

“The system worked,” added Lockett, “but of course it was quite cumbersome and involved a lot of time-consuming entries and cross referencing to keep up with each job. Now though, we do it all on a screen in such a way that all stakeholders can access and review all critical information at any time from any location. It literally saves hundreds of pounds every day. Moreover, where there was once a table, there is now a sofa which in a way says it all!”

From the fleet side of things, using the Planning and Dispatch modules of the routeMASTER system, PRG XL Video is seeing improvements in vehicle utilisation. Additionally, the automatic defect reports enable the company to remain compliant at all times.

“This is really useful,” added Nathan Lockett, “and added to the online audit checks, which enable us to instantly see each delivery history, we have total control and accuracy without the need to shuffle paper. Also, from a delivery perspective, our onsite crew can use the mobile app to track any consignment and obtain an ETA. A great tool for monitoring the movement of vital or ‘show-breaker’ equipment – we really couldn’t do without it.

“Altogether the system does everything we had been promised and without question it now forms an integral part of our operation.”
